Retreat Booking Agreement
It is understood that facilitators agree to the following terms on the payment of their booking deposit.
1. Payment Terms
A non-refundable booking deposit of 10% is required to secure the dates.
A first instalment of 30% is due 10 weeks before the event.
The remaining balance is due 4 weeks before the event.
Failure to pay on time may result in cancellation (see clause 5).
2. Maximum Numbers & Accommodation
The total number of attendees (including guests, facilitators, assistants, photographers, etc.) must not exceed 13.
No tents, campervans or external accommodation on the property unless agreed in writing by the Owner.
If numbers exceed the agreed maximum, the Owner reserves the right to either:
Charge an additional £200 per person per night, or
Cancel the booking without refund (see clause 5).
3. Use of the Property
The Organiser must use the property responsibly and respect house rules.
The Organiser is liable for any damage caused by themselves or their attendees.
Noise levels must be kept to a reasonable level, particularly after 10pm.
4. Catering & Facilities
If the Owner is providing catering, numbers must be confirmed no later than 4 weeks before the event.
Facilities such as the dining room and yoga shala have capacity limits – the Organiser must comply with these limits.
5. Cancellation
By the Organiser:
More than 8 weeks before the event: deposit is non-refundable; all other payments refunded.
4–8 weeks before the event: 50% of total fee is retained.
Less than 4 weeks before the event: 100% of total fee is retained.
By the Owner:
If the property becomes unavailable due to events beyond the Owner’s control (e.g. fire, flood, illness, major repairs), the Owner will refund all payments in full but will have no further liability.
If the Organiser breaches this Agreement (e.g. exceeds maximum numbers, fails to pay on time, violates rules), the Owner may cancel without refund.
6. Insurance
The Organiser is strongly advised to take out event insurance to cover cancellations, illness, and other unforeseen circumstances.
7. Governing Law
This Agreement is governed by the laws of England & Wales.
